What Should Kaikohe Landlords Include in a Maintenance Handover?

•By Sean Stratton

A useful maintenance handover tells your Kaikohe property manager what needs attention now, how the home’s equipment is maintained and how to reach you for decisions. Start with a short summary of outstanding jobs, then attach the records that help someone act on each one.

Which jobs should be on the first page?

List current problems separately from work you would simply like to do later. For each item, record where it is, what has been reported, what action has already been taken and who is waiting for a response. Include a dated photograph or contractor’s note where that helps explain the issue.

Do not let an urgent concern wait while you assemble the file. Contact the manager promptly and agree the immediate next step. Tenancy Services’ damage and repairs guidance explains the importance of acting on maintenance and addressing urgent problems.

What information helps with the home’s equipment?

Gather operating instructions, model details, service records and warranties for equipment supplied with the property. A clear record can help the manager identify the right contractor and understand what has already been checked, without asking a tenant to diagnose a fault.

Document the actual services at the address. If the property has private water or wastewater equipment, provide the available system and servicing information. For larger grounds, explain the relevant access, fences and excluded areas. Our Kaikohe and Ngawha rental preparation guide identifies these property-specific arrangements as part of preparing for management.

Should you pass on previous contractor details?

Give the manager the business name, contact information and recent job records for contractors who have worked on the property. Say whether a quote is current, work has been booked or a follow-up visit is still expected. A list of names without that context may leave the new manager unsure whom to call or what has been agreed.

Ask how contractors will be selected and how access will be coordinated with the household. Discuss any existing commitment before assuming the same contractor will continue under the management arrangement.

How should repair approvals and updates work?

Agree how the manager will contact you, what information you want with a routine quote and who can respond if you are unavailable. Discuss the authority set out in the management agreement and how urgent situations will be handled. A routine approval preference should not become a reason to leave an urgent problem unattended.

The office’s property management service page explains maintenance coordination and owner communication. Ask how you will see the job’s progress and the evidence of completion.

How can you keep the handover useful after the first month?

Ask the manager to identify which matters are resolved, which need your decision and which require further investigation. Add completed work and service documents to the property record rather than leaving them only in an email thread.

For a conversation about managing your Kaikohe or Ngawha rental, use the enquiry form on the local property management page or call 09 401 0852. Start with the address and your management plans; arrange an appropriate way to transfer property and tenancy records with the team.
